At Vipex, safeguarding your personal data and respecting your privacy rights is fundamental to how we operate. Each time you visit our website or engage with our services, you place your trust in us — and we honor that responsibility. This privacy policy is designed to clearly outline what data we gather, why we gather it, and the rights available to you. We encourage you to review this document thoroughly. Should any provision here be unacceptable to you, we ask that you refrain from using our website and services.

Who We Are

In this policy, "Vipex", "we", "us", or "our" means Vipex Technology Company Limited, at B16, 252 Luong The Vinh housing area, Thanh Xuan Ward, Ha Noi, Vietnam. This policy covers vipex.vn, the PhaPha app, and related services (collectively, the "Services").

Section 01

Information specific to the PhaPha app

This section applies specifically to the PhaPha iOS app and takes precedence if it differs from the general website information below.

1What PhaPha is

PhaPha is a companion app that lets users record feelings and routines and chat with an AI assistant. It is intended for people aged 16 or older. It is not a medical device or medical service, does not diagnose, prescribe, or provide dosage instructions, and is not a substitute for professional advice. In an emergency in Vietnam, call 115.

2Data processed and purposes

Depending on how you use the app, PhaPha may process an optional display name; content you enter, such as conversations, notes, check-ins, and responses; information you voluntarily share about feelings, routines, and health; four optional health-profile values (height, weight, blood lipids, and blood pressure); a random device identifier; time zone; and photos you deliberately select for analysis, including medical report images. This data is used to provide app functions, personalize conversations, retain history, and synchronize notifications. Name, content, health information, device identifier, time zone, and photo-processing requests are linked to your device profile. You review and confirm values read from a report before they are added to your health profile, which is used to personalize conversations. Photos are used only for the image-reading function in the current request, are not used for personalization, and are not retained by Vipex after processing.

3Data processors

Vipex operates the PhaPha API servers. Conversation content and photos may be sent to FPT Smart Cloud/FPT AI Marketplace services to generate responses or interpret images; the app currently uses DeepSeek-V4-Flash and gemma-4-31B-it. Apple may process push tokens, general push-notification content, and speech data when you use dictation or speech recognition that does not run entirely on-device. Vipex has not yet received final written confirmation from FPT about retention, use for model training, processing locations, and subprocessors; until that confirmation is available, do not send content you would not want transferred to the AI provider.

4Retention, photos, and deletion

Photos pass temporarily through Vipex servers for processing and are not stored in Vipex databases, disks, or application logs. Other app data is retained while you use the service or until you request deletion. In the app, go to Account → Delete my data; live data is deleted immediately after confirmation, while encrypted backup copies expire within no more than 14 days. A SHA-256 hash of the device identifier and the deletion timestamp are retained indefinitely. This deletion record does not retain the raw identifier or deleted content; its only purposes are to prevent deleted data from reappearing after a backup restore and to refuse re-registration of that deleted identity.

5No tracking and your rights

PhaPha does not sell personal data, show ads, or track you across apps or websites owned by other companies. You may withdraw consent or request access, correction, deletion, or restriction through the app or by contacting minh.vu@vipex.vn. Withdrawing consent does not affect processing that was lawful before withdrawal.

What Data Do We Gather?

1Personal Information

Browsing our website does not require you to submit any personal details. We only collect information that you voluntarily share with us — for instance, when you fill out a contact form, request information about our services, or reach out to us directly. This may include your name, phone number, email address, and company name.

2Server Log Data

Like most web-based services, our servers automatically record certain non-personal data each time your browser or device connects to our website. This may include your Internet Protocol (IP) address, browser type, referring and exit page URLs, click patterns, timestamps, and pages visited. We use this data to understand usage trends and improve the site experience. This automatically collected information is never linked to your personal identity.

3Analytics

We utilize analytics tools such as Google Analytics to collect aggregated information about site visits. This includes environmental data (approximate location derived from your IP address, browser language, device and browser specifications) and behavioral data (visit timestamps, pages browsed, links clicked, and the referring domain). If your browser supports cookies, we may use session cookies to measure unique visitor counts. This data is used solely for statistical analysis and site improvement — we do not collect personally identifiable information through analytics, nor do we share this data with third parties.

5Children's Data

We do not intentionally collect data from or direct marketing toward individuals under the age of 16 or below the age of majority under applicable law. By using our Services, you confirm that you are at least 16 years old, or that you are the parent or legal guardian of a minor and consent to their use of the Services. If we discover that data from a user under 16 has been collected, we will promptly take steps to remove it. How Do We Use Your Data?

We process your personal data to fulfill the requests you make and for other clearly stated or self-evident purposes, including:

  • Initiating and developing a business relationship with you
  • Addressing your inquiries and concerns
  • Enhancing the performance and usability of our website
  • Delivering support communications, system notifications, technical updates, and security alerts
  • Sharing marketing and promotional content (with your consent)
  • Conducting business analysis — identifying usage patterns, measuring campaign effectiveness, and refining our Services, products, and overall user experience
  • Meeting compliance requirements and legal obligations under applicable laws

For any purpose not listed above, we will obtain your explicit consent beforehand.

We may transfer your personal data to other jurisdictions as required for the purposes described in this policy, including regions that may not offer the same level of data protection as your country of residence. By submitting personal information from outside Vietnam, you acknowledge that your data may cross international borders. When legally required, we may also disclose personal data to law enforcement or regulatory bodies. Protecting the privacy of your data remains our foremost priority.

How We Protect Your Data

We have adopted reasonable security policies and technical measures to guard personal information against unauthorized access, loss, misuse, alteration, or destruction. While we implement extensive safeguards, no security system can guarantee absolute protection against every conceivable threat. Access to your personal data is limited to authorized personnel who have a legitimate need to handle it, and all such individuals are bound by confidentiality obligations.

Section 06

Data Retention

We retain your personal data only for as long as necessary to achieve the purposes outlined in this policy, unless a longer retention period is mandated or permitted by applicable law (such as tax, accounting, or other legal requirements). Under no circumstances will we retain your personal data for more than 90 days following the termination of your account. When there is no longer a valid business reason to process your data, we will either delete or anonymize it. If immediate deletion is not feasible (for example, data stored in backup archives), we will securely isolate the data and prevent any further processing until deletion becomes possible.

Your Rights Over Your Data

You have the right to access the personal data we hold about you and to request its correction, deletion, or restriction of processing. Where applicable, you may also object to the processing of your data or exercise your right to data portability. If our processing is based on your consent, you may withdraw that consent at any time without affecting the legality of processing carried out prior to the withdrawal.
